GDPR Privacy Notice
As part of our work together, I will need to collect and store certain personal information so I can provide safe, effective sessions. Your privacy is extremely important to me, and I am committed to handling your data lawfully, respectfully, and securely in line with the General Data Protection Regulation (GDPR)
This notice explains what information I collect, why I collect it, how it is stored, how long it is kept, and the rights you have regarding your personal data. Please take a moment to read through it. If you have any questions or concerns about how your information is used, you are very welcome to ask at any time
1. Privacy Notice How will my data be stored?
In May 2018 the Data Protection Act was replaced by the General Data Protection Regulations (GDPR). The changes to the Data Protection Act are aimed at ensuring that your personal, confidential and sometimes sensitive data, is held privately and securely.
2. How long will you hold my information for?
I will keep your records securely for 8 years after our last session if you are an adult. For clients under the age of 18, records are kept until they reach 25 years old (if last seen under 16) or 26 years old (if last seen at 17–18), in line with National Council for Hypnotherapy (NCH) requirements.
3. What if I would like my data to be destroyed before this date?
Due to the sensitive nature of what we do, my insurance company does not allow the deletion of data, before the minimum time for holding said data.
4. Am I able to see or get a copy of the information held by you?
Yes. In line with GDPR, you can request to see or receive a copy of the information I hold about you at any time. Simply email me with your request, and I will provide the information within 30 days.
5. What are your reasons for collecting this information?
I collect your personal information so that I can provide safe, effective hypnotherapy sessions, maintain accurate clinical records, meet my professional and legal obligations, contact you about appointments, and ensure your safety and wellbeing. I am also required to keep appropriate notes for insurance and professional supervision purposes.
6. How do I know that you will store my information securely?
Your information is kept securely at all times. Paper notes are stored in a lockable cupboard, and any digital information is held on my password‑protected laptop, which also has up‑to‑date security software installed. I only access client information on password‑protected devices, including my phone, to ensure your data remains private and safe.
7. Are our discussions within the hypnotherapy sessions confidential?
Yes, unless I need support from my supervisor or I believe that you may harm yourself or another.
8. What if I see you outside of a hypnotherapy session?
If we see each other outside of a session, I will not approach or acknowledge you unless you choose to do so first. This is to protect your privacy and ensure that no one is made aware of our therapeutic relationship without your consent.
9. Will you discuss information about me with other health and social care professionals?
Only with your written consent.
10. Who do I contact if I have concerns regarding my data?
You have the right to raise your concern with the Information Commissioner's Office (ICO). For further information visit: https://ico.org.uk
